Privacy policy
This policy explains what happens to the information you give us through klabsolutions.com.au.
In short: the contact form sends your enquiry to our mailbox, we use it to answer you, and we do not sell it, trade it or add you to a mailing list.
Who this policy is from
KLab Solutions is an IT consultancy based in Melbourne, Victoria, Australia. In this policy, we, us and our mean KLab Solutions.
You can contact us about anything in this policy at support@klabsolutions.com.au.
What we collect
- What you type into the contact form: your name, your email address, and optionally your phone number and organisation, along with the topic you select and the message you write.
- What you send us by email afterwards, which becomes part of the same conversation record.
- Basic technical information handled automatically when you load a page: your IP address, the browser and device type, the page requested and the time. Cloudflare, which serves this site, processes this to deliver pages and to block attacks and abuse.
- A one-off token from Cloudflare Turnstile, the bot check on the contact form, which confirms a person rather than a script submitted it.
What we do not collect
This site has no advertising trackers, no social media pixels, no third-party analytics and no cookies used to build a profile of you. We do not attempt to identify visitors who do not contact us.
If that ever changes, this page will be updated before the change goes live, and the date at the top will move.
Why we collect it
We collect your contact details and message so that we can read your enquiry, reply to it, and keep a record of what was discussed if it becomes a piece of work. We collect the technical information so the site stays available and the form does not fill up with automated spam.
We only ask for what is reasonably necessary for those purposes, which is the standard set by Australian Privacy Principle 3. The phone number and organisation fields are optional for exactly that reason.
Who else handles it
We use two service providers, and both of them process information on our behalf rather than for their own purposes.
- Cloudflare, Inc. hosts this website, runs the Turnstile bot check and routes the enquiry email. Your form submission passes through Cloudflare's network.
- Google LLC hosts the mailbox the enquiry arrives in, so your message and email address are stored in that mailbox.
Where it goes, and overseas disclosure
Both providers above operate globally, and information handled by them may be stored or processed outside Australia, including in the United States. Australian Privacy Principle 8 requires us to tell you this.
Beyond those two providers, we do not disclose your information to anyone. We do not sell it, rent it, trade it, or make it available for anyone else's marketing.
The one exception is where the law requires it: we would disclose information if compelled by a court order, a law enforcement request we are legally obliged to answer, or a similar legal requirement.
How long we keep it
Enquiries that do not lead to work are deleted within 24 months. Enquiries that become an engagement are kept as ordinary business records for seven years after the work ends, which is the retention period Australian tax law expects of us.
You can ask us to delete your enquiry sooner. Unless we are required to keep it as a financial record, we will.
How it is kept secure
The site is served over HTTPS, so what you type into the form is encrypted in transit. Access to the mailbox that receives enquiries is limited to the people at KLab Solutions who need it to answer you.
No system is perfectly secure. If we ever became aware of a data breach likely to cause you serious harm, we would notify you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
Marketing
Sending an enquiry does not subscribe you to anything. We do not run a mailing list from this form, and we will not add you to one later without asking you first and giving you a way to opt out, as the Spam Act 2003 requires.
Cookies
This site sets no cookies for tracking or advertising. Cloudflare may set a cookie strictly to operate the Turnstile bot check and to protect the site from automated abuse. Blocking cookies entirely will still let you read every page, though the contact form's bot check may not complete.
Accessing, correcting or deleting your information
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email support@klabsolutions.com.au with enough detail for us to find the right record, such as the email address you used.
We will respond within 30 days. There is no charge for asking. If we cannot do what you have asked, for example because we are required to keep a financial record, we will tell you which part we cannot do and why. These rights come from Australian Privacy Principles 12 and 13.
Complaints
If you think we have mishandled your information, please tell us first at support@klabsolutions.com.au. We will look into it and respond within 30 days.
If you are not satisfied with our response, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au, or by phone on 1300 363 992.
Our position under the Privacy Act
KLab Solutions is a small business and may sit below the annual turnover threshold at which the Privacy Act 1988 (Cth) applies automatically. We handle personal information in line with the Australian Privacy Principles regardless.
Children
This site is aimed at businesses and is not directed at children. We do not knowingly collect information from anyone under 16.
Changes to this policy
If we change how we handle information, we will update this page and change the date shown at the top. The current version is always the one published here.
